Methodology

How we score AI SOP creators

The rubric, the test protocol, the weights, and the change log. Every score on this site derives from what is on this page.

The rubric

Nine weighted criteria

CriterionWeightWhat we grade
AI generation quality20%Quality of auto-written step text, titles, and summaries from a raw capture. Scored by running the same 12-step billing workflow through each tool and grading the untouched first draft.
Capture method and speed15%How the tool captures a workflow (browser, desktop, video) and time from starting a capture to a shareable draft.
Editing and formatting12%Reordering steps, annotating screenshots, cropping, merging captures, brand styling.
Security and redaction12%Auto-redaction of sensitive data in screenshots, SSO, permissions, compliance posture.
Sharing and export10%Link sharing, embeds, PDF and doc export, public and gated options.
Integrations10%Native destinations for finished SOPs: Notion, Confluence, Slack, Zendesk, LMS, plus API access.
Team collaboration8%Workspaces, roles, review flows, comments, version history.
Pricing and value8%What the free tier actually allows, per-seat cost at 10 seats, and which features are paywalled.
Ease of use5%Time to first published SOP for a non-technical user, measured, not vibes.
Total100%Weights sum to 100%. Sub-ranking pages re-normalize when they re-weight.
Test protocol

Same workflow, every tool

We run the same twelve-step workflow (creating and sending a customer invoice in a web billing app) through every tool, then grade the untouched first draft, the editing pass, and the publish flow. Pricing is captured from public vendor pricing pages on the date shown and re-verified before each scoring update.

Why these weights

Defending the two heaviest weights

AI generation carries 20% because the query this site answers is "best AI SOP creator". The AI is the thing being shopped for; if the first draft is not usable, no other feature matters as much.

Security and redaction carries 12% because SOP screenshots routinely contain customer data. A tool that ships screenshots with account IDs, PII, or card numbers is a liability the buyer inherits.

Capture speed carries 15% because capture is where the tool either saves time or does not. The rest of the weights are distributed across editing, sharing, integrations, collaboration, pricing, and ease of use, sized to what real buyers actually use.

Disclosure, long form

Who runs this site and why

This site is operated by Alegria Media and Consulting Ltd, a marketing company whose agency works with Haiku, one of the tools reviewed here. We publish this because you should weigh it. What keeps the rankings useful anyway: the rubric and weights are published in full, every score is shown per criterion, the sub-rankings where Haiku is not the winner are published (enterprise, video, prompt-to-SOP), and the change log records every scoring update. Outbound links to Haiku are tagged rel=sponsored. If you think a score is wrong, email us, we re-test and publish the result.
